Access Client Cards from your Calendar Appointments!

We made it easier to access your client cards from your calendar! Now instead of having to click on your client’s name, you can just click anywhere in the appointment box:

When your appointment box pops up, just click on your client’s name to go directly to their client card.

Set Your Availability!

When are you working?

Set your availability so your clients know when you are available and can book online. First go to “My Profile” and then click “Edit Profile” and click the tab labeled “Availability”.

Set up 

Check the days that you work and fill in your hours. When clients go to book appointments they will only be able to book within your available hours. (Note: you can still book appointments internally during “off” hours in your Schedule)

Lunch break

There’s an optional space to block off breaks and lunches. Be sure to fill this out so clients see you as unavailable during this time.

Take some time off!

If you want to block off a day that you usually work you can go to your “Schedule” and select the day you would like to block off. If you click on your calendar and the appointment box will pop:

Click the teal link that reads: “Block Off Personal Time”.

Now you can set the hours of the day/time you want to block off. Click the “Save” button. Your personal time will be blocked off in teal on your calendar as shown below:

NOTE

We don’t have customizable availability yet, but we plan to add it soon. If you want to open up a day that you usually have off, a work-around would be open up the extra day you want to work in your “Availability” tab and and then manually block off that day with personal time for any other weeks that you won’t be available that day. 

Block off your vacation time on your calendar!!

If you’ll be away from the salon or out for the day, make sure to block it off in your calendar to avoid having your clients book services with you when you’re out of the salon.

 

Go to the “Schedule” tab, click the time and date on your calendar you would like to block off, and wait for the box to pop up. Click the teal “block off personal time” link. 

A new box will pop up where you can enter the date and timeframe you’ll be unavailable to your clients. You can fill out a block of time or the whole day. Click “Save”.

 

Your personal time will show up on your calendar internal calendar, and clients will not be able to book appointments with you online during that time.

 

Need to take a few days off?  Repeat this process for all the days you’ll be away. You can’t block off multiple days at a time yet, but this feature is coming soon!

Scheduling and Online Booking

StyleSeat gives you a FREE scheduling tool and FREE online booking! Here’s how it works:

Scheduling Tool

StyleSeat has a scheduling tool that lets you manage your appointments and send auto client follow-up emails to help you spend more time with clients and less time managing your business.

Even if you don’t turn online booking on, your services will say “Call to book”, and clients can call the number listed on your profile.

Here’s what you get if you use us for scheduling:

Online Booking

Online booking will have all of the same features as above, plus the luxury of giving clients the option to book themselves. Turn your online booking on by going to “My Home/Settings/Online Booking”. Choose your client reminder and online booking notifications, and click “save”.

In “My profile/edit profile/services” you can set up your services to be “call to book” if you don’t wish to offer online booking for certain services. Just click the “Disable booking online for this service” check box and click “save service”:

We also give you the option to use power booking/appointment padding per service, so new clients can book an appointment online during the time your other client is processing, and can not book an appointment during your clean up time. See how it works: Power Booking/Appointment Padding.

Go to “My Profile/edit profile/services” and click the teal link that says “Power booking/padding (beta)”. Make sure the “Disable booking online for this service” box is NOT checked:

A dropdown menu will appear. Set your times:

Remember: Clients can filter their searches by “online booking” so be sure to turn yours on in order to increase your chances of surfacing in search!

Manage your schedule from your mobile device:

  • Download our free iPhone and iPad apps in the iTunes store (Android app coming soon!)

Once you start using us for scheduling and/or online booking, you will be able to see the following stats on your dashboard for your day/week/month:

  • Appointments booked
  • How booked you are
  • Your projected revenue totals

How to Promote Your StyleSeat Profile

You’ve set up your StyleSeat profile and now you want to let your clients know they don’t have to call you to schedule appointments.

Here are a few tips to get the word out about your profile!

  • Tell your clients during their appointments: it’s easy to dive right into the consultation or forget to mention online booking before your client leaves. Try and make it a habit to let them know that you can pre-book their next appointment using StyleSeat or they can go to your StyleSeat profile to book when they’re ready.
  • Change your voicemail: let your clients know they can book their appointment online and mention your profile’s web address so they know where to go. For example “Hello, you’ve reached  <your business name> you can book an appointment instantly online by going to <your StyleSeat profile’s web address>, or you can leave a message and I’ll get back to you as soon as I can”
  • Spread the word on your social networks: Put a link to your StyleSeat profile on your website, Facebook page and/or Yelp page. Send a tweet reminding clients they can book online and include a link to your StyleSeat page. For more tips, click here.
  • Tell your clients via email: Check out an example email here! It’s a great way to get them excited about your page and promote you to their clients.
